This privacy policy governs the collection, storage, use of personal information collected by us, Alvingham Village Community Hall C.I.O. It provides details about the personal information that we collect from you, how we use your personal information, your rights regarding the personal information that we hold about you.
Who is Alvingham Village Community Hall C.I.O


Alvingham Village Community Hall C.I.O. (whose address is Yarburgh Road, Alvingham, Near Louth. Lincolnshire. LN110QG) aims to provide social activities for villagers and friends.


What personal information do we collect about you?
The name, telephone number and address of each social member is collected and sorted on an electronic spreadsheet. It is accessed on a private password protected computer by the Membership Secretary. A paper copy of a list of members names is held behind the bar.


Once new members data has been added to the membership spreadsheet and email address sent to our Web Master then the application form is shredded.  As and when the bar copy is updated the previous list is shredded.


What is the purpose of collecting the personal data as well as the legal basis for the processing?
We use the list for the legitimate reason of updating members either by email “round Robin” or occasionally by post ( e.g AGM papers or “What’s on at Christmas”.)
We only collect member data for this purpose and do not share it with any third parties. We believe in and carry out a policy of data minimisation. Alvingham Village Community Hall C.I.O. holds no sensitive data on our members (eg religious views, health history or criminal records).


What do we do with your data?
All the personal data that we handle is processed by our committee. All our committee members are aware of our data protection policies.
The email list is stored on www.mailchimp.com and is password protected accessed only by committee members. Alongside this list, any enquiries made on this website will be stored on the Wix platform

How long do we keep your data?
For as long as you are a member and are subscribed to the mailing list. In terms of general enquiries, these emails are kept until the enquiry has been dealt with and then deleted.


What are your rights in relation to the personal information that we hold?
You have the following rights:
•    to ask us to provide you with copies of personal information that we hold about you at any time.
•    to ask us to update or correct any out of date or incorrect personal information that we hold about you (in accordance with applicable data protection legislation);
•    the right to opt-out of any marketing communications that we may send you.
If you want to exercise any of these rights, please write to us at the address specified above.
If you object to our processing of your personal information for certain purposes or you want us to stop using or to delete your personal information, you can contact us and tell us why. In certain circumstances we may not be able to stop using your personal information but, if that is the case, we’ll let you know and tell you why.
